Leading an Effective Workshop

A workshop is a gathering of people with the intention of working or putting into practice what has been learned, in order to produce results that are meaningful for actions, directed towards achieving common goals or tasks, so a workshop is not a conference or seminar, nor is it a course. The process often combines elements of qualitative research, brainstorming, and problem-solving skills.

An effective workshop will help participants to understand the existing problems more clearly and contribute to finding workable solutions. An important role is played by the moderator, who involves all participants, motivates and is responsive to the capabilities, needs, interests, and emotions of the participants.

Here are the main stages of an effective workshop:

Planning, preparation, actual conduct and follow-up,

  • clear and realistic objectives must be established, participants must know from the beginning what the purpose of the workshop is and what results are being sought
  • selected participants must be interested in the subject and be specialists in the respective field
  • defining the agenda with topics and activities that are appropriate for the size of the group
  • planning the time and location depends on the program and the number of participants, it can be organized in the company or outside the company, to avoid Monday or Friday, and the start and end time is communicated in advance to the participants
  • at the beginning of the workshop the moderator introduces himself, goes through the agenda and presents how the workshop will be conducted, also asks the participants to introduce themselves and express their expectations
  • the actual conduct of the workshop depends very much on the chosen subject, the established purpose and the allocated time, therefore the moderator must have the necessary data, information, presentation of data also in visual format through pictures, sketches, graphics; the moderator should keep the pace and frame the activities in time, be serious but flexible, interactive and create an interesting atmosphere
  • after the workshop ends, the follow-up practically begins immediately, through the Action Plan, which must be accessible to all participants, and depending on the workshop and defined actions, a meeting is set to check the status of the actions and the lessons learned.

By actively involving the participants and the moderator towards practical applications within the workshops, it represents an efficient way of professional development, contributing to the improvement of processes and the consolidation of a high-performance organizational culture.
